Example (fictional data)

Crèche with 46 children, three rooms. Each morning and afternoon the room leaders sign children in and out on the tablet. On Monday the manager opens last week's figures: hours per child against their NCS registration, the ECCE sessions attended, and two children with three absences in a row to follow up with the parents.

How it works

Crèches and preschools with a DCDE contract deliver the National Childcare Scheme and the ECCE programme, and every week they make returns based on the attendance of each child. That means a daily record of who came, when they arrived and when they left, kept accurately for every child in every room.

In many services attendance is still a paper sheet on the wall or a spreadsheet filled in at the end of the day. When the weekly return is due, the manager adds up hours by hand, checks them against each child's registration and hopes nothing was missed on a busy morning.

The service makes the daily record simple. Each room has a tablet with the children expected that day. Staff tap a child in on arrival and out on collection, and the time is recorded. Late arrivals, early collections and absences are recorded the same way.

Each child has their scheme details: NCS hours registered, ECCE sessions, and the days and times they are booked. From the daily record the service works out the hours attended and the sessions used for each child.

On Monday morning the figures for the weekly return are ready: attendance and hours per child against their registration, with differences highlighted. The manager checks them and enters the return in the way the scheme requires.

Children with repeated absences are flagged before the return is made, so the manager can talk to the parents in good time and keep the records in line with the scheme's rules on attendance.

Parents can be sent a short message when their child is signed in or collected, and the service keeps a record of who collected each child. The history of attendance is kept for every child for as long as it is needed.

Room leaders see their own room; the manager sees all rooms and the figures for the whole service. Nothing has to be added up at the end of the week.

Getting started takes one evening: your rooms, staff and children, with their scheme details, imported from a spreadsheet. It works in the browser on a tablet, a phone or a computer, nothing to install.

The service is built for crèches and preschools in Ireland delivering NCS and ECCE. It is in preparation: we are checking whether services need it before it is built. The provider remains responsible for its returns and for meeting the scheme's rules.
